Partner's Profile

Background

The client is a teleradiology platform in Ukraine for remote reading of CT, MRI, X-ray and mammography for clinics and patients. Paid ads performed poorly, so the business bet on recommendations from doctors and medical representatives. But there was no way to register partners, attribute the patients they brought or pay them rewards, so the channel could not be run or measured.

Objective

Build a partner program as a new module of the platform: registration with moderation, patient attribution through promo codes, links and QR codes, tiered rewards and recorded payouts. Every amount had to be explainable and tied to money the platform had actually received, and partners had to stay structurally cut off from medical data.

Solution

We built a separate partner portal on its own subdomain, applying the same discipline we use in SaaS development. Doctors and medical reps register with a questionnaire and go through manual moderation; the team gets a Telegram alert about partners waiting. Each partner receives a personal promo code that gives the patient a discount, plus a referral link and a downloadable QR code that pre-fill it. Rewards follow 5 tiers with per-partner overrides. Med reps earn a share from patients of the doctors they brought, activation bonuses trigger when a recruited partner's third patient pays, and doctors invite doctors, reps invite reps, one level deep. Partners get statements for any period, a materials library, transactional emails and a mobile layout.

Privacy is enforced by construction, not by hiding buttons. A partner is a user with a partner profile and no staff role, so the medical side is closed to them structurally: they see patient initials, study type and their own reward, never payments, images or reports. The module was built in about 10 days, from late August to mid-September 2026, with roughly 460 automated tests, on a Python and Django backend.

The real engineering was money correctness. An order is attributed after the main payment; the reward accrues once the report is issued and becomes payable only when all held payments of the order are captured. The balance is not a stored counter but the sum of unpaid rewards, and an append-only ledger must reconcile with it.

Reaching a higher tier mid-month reprices the whole month retroactively; a refund or failed capture reverses it, a repeated capture restores it.
Corrections carry the event date, so a statement for a closed period never changes.
Paid-out rewards are never reversed, and repeated payment-provider webhooks never double-count.
Payouts take only unpaid rewards, require a bank document, and lock partner profiles in one consistent order: no double payouts, no deadlocks.

Promo Code, Referral Link and QR

Each approved partner gets a personal promo code that gives the patient a discount, a referral link and a downloadable QR code. The link and QR pre-fill the code, so attribution does not depend on the patient remembering it.

Five Tiers, Retroactive Repricing

Rewards follow 5 tiers with per-partner overrides. Reaching a higher tier mid-month reprices the whole month; a refund or failed capture reverses it. Corrections carry the event date, so closed-period statements never change.
